Each file uses plain Word tables, so it opens in MS Word, LibreOffice and Google Docs. Text in [brackets] is a placeholder: replace it, then delete the brackets.
How to set up an invoice in MS Word
- Add your letterhead. Insert your logo in the header (Insert, Header) so it repeats on every page.
- Fill the details table. Invoice number, date, due date, place of supply.
- Add item rows. Click in the last row, then Layout, Insert Below. Keep one item per row.
- Total the amounts. Word tables can add a column (Layout, Formula, =SUM(ABOVE)) but it does not update on its own. Press F9 on the field after changes, or use the Excel version.
- Save as PDF before sending. File, Save As, PDF. Keep the .docx for next time.

Do
- Use A4 page size and margins of about 1.5 cm.
- Keep fonts to one family and two sizes.
- Right align all amounts.
- Print “Original for recipient” on the first copy for GST.
Avoid
- Do not use colour backgrounds that waste ink.
- Do not split a line item across pages.
- Do not leave placeholder brackets in the final copy.
