Employee signature
Why an acknowledgement matters
When salary is paid in cash there is no bank record, so the employee signature on the slip is your proof of payment. Keep the signed copy.
A receipt for more than Rs 5,000 generally needs a Re 1 revenue stamp under Article 53 of the Indian Stamp Act. Wages receipts can be treated differently and states can amend stamp law, so ask your accountant if it applies to you.
Salary voucher
Some businesses record cash salary through a salary voucher in the cash book: “Paid to Ramesh Solanki, salary for October 2026”, with the amount, signed by the employee. The cash voucher format works for this.
Cash wages: a simple monthly routine
- Count attendance. Paid days and any leave.
- Prepare the slip. Two copies.
- Pay in front of the employee. Count the cash.
- Get the signature on your copy. Add a revenue stamp if your accountant advises it for the amount.
- Enter it in the cash book. As salary paid, with the slip as the voucher.
Moving from cash to bank
Paying wages by UPI or bank transfer gives both sides a record without paperwork and avoids disputes about cash handed over. If an employee has no bank account, help them open a basic savings account. You can still give a slip each month.
Frequently asked questions
Is cash salary allowed?
Many small employers pay in cash, but some laws and many states encourage or require bank payment for certain employees. Paying by bank or UPI gives you a clean record.
Do I need a revenue stamp on a cash salary slip?
For receipts above Rs 5,000 a revenue stamp is generally used, but treatment of wage receipts can differ. Check with your accountant.
